The HR Events team is part of the JetBrains People team. It is responsible for organizing internal events both locally at our offices in Amsterdam and company-wide. These events come in three formats: in-person, virtual, and hybrid. Our employee events include celebrations, well-being initiatives, and sports competitions. Additionally, we assist various internal teams with their events, from small gatherings to large departmental conferences. We also engage in a variety of other internal projects
You will help to:
Organize team events, such as team gatherings
Assist team leads in choosing and booking the team-building activities (such as boat tours, art workshops, cooking classes, carting, bowling, restaurants, and other things Amsterdam can offer)
Cooperate and negotiate with partners and external service providers: searching local event suppliers, sending and comparing offer requests, and expanding the network of suppliers
Organize local (Amsterdam) internal events for employees, such as Bike Safety days, Health Days, sports events, streamings in the office, and other events
Assist the HR Events Specialist with large-scale events like the Summer Event or the Winter Celebration (400-750 people, including families with kids)
Collecting participant needs and requirements, purchasing materials, helping with venue setup, coordinating delivery and logistics, providing on-site support, etc.
Handle invoicing for events and/or reimbursement for team leads in accordance with the internal procedures
Collaborate with internal departments, including Design, Branded Merchandise, Procurement, Office Management, IT Support, Accounting, and others
You are curious about how events are organized and what makes people feel connected. You might have this interest through: student clubs or university committees, volunteering, helping organize gatherings, workshops, or team activities, or simply enjoying planning and coordinating things for others
Good English communication skills (written and spoken) and proficiency in Dutch
Willingness to research and explore the local service providers and market
